Terms & conditions
These terms cover photography commissioned from Best Side Media, a sole-trader photography practice based in London (“I”, “me”). They apply together with anything we agree in writing for a specific job; where the two differ, the written agreement for the job wins.
1 · Quotes and booking
- Every job is quoted individually by email after an inquiry. Quotes are valid for 14 days.
- A booking is confirmed only when you accept the quote in writing (email is fine) and I confirm the date. No payment is taken through this website. Invoicing and payment terms are set out in the quote.
- Unless the quote says otherwise, invoices are payable within 14 days.
2 · What you get
- Edited, selected images at the resolution and in the crops agreed in the quote.
- Delivery timelines are stated per job — typically five working days for street and editorial work, overnight selects available for set work, and 48-hour turnaround available for social content.
- RAW files are not deliverables unless the quote explicitly says so.
- Prints: physical prints of delivered or portfolio frames are available in sizes up to A2 (larger via a professional lab), priced per size plus tracked postage and quoted with your order. Print orders are made to order and are non-refundable once printed, except for defects or damage in transit.
3 · Licensing and credit
- I retain copyright in all photographs, as is standard for UK photography. You receive a licence for the uses agreed in the quote (for example: organic social media, press and PR, internal use). Broader use — paid advertising, out-of-home, resale — needs a broader licence, agreed in writing.
- The licence activates when the invoice for the job is paid in full.
- Credit (“Photo: Best Side Media”) where agreed — appreciated always, required only where stated.
- I may use commissioned frames in my own portfolio and social channels unless we agree otherwise in writing (embargoed and NDA’d productions are always respected).
4 · Cancellation and weather
- You can reschedule a confirmed booking once, free, with at least 48 hours’ notice.
- Cancellation with less than 48 hours’ notice may be charged at up to 50% of the quoted fee; cancellation on the day at up to 100%, reflecting held time that cannot be re-booked.
- Outdoor work depends on weather and light. If conditions make the brief unachievable we reschedule at no charge — that call is made together, as early as possible.
5 · On-set and location work
- I carry my own kit and work unassisted with a quiet leaf-shutter camera; I follow set etiquette and the AD’s instructions at all times.
- Any access passes, permits or location permissions the job needs are the client’s responsibility unless the quote says otherwise.
- Embargoes and NDAs are honoured as standard; sign-off workflows for unit stills are agreed before the shoot day.
6 · Travel
I am based in London and cover the surrounding areas. Travel beyond that is billed at cost — transport, and accommodation where an overnight is unavoidable — always itemised in the quote up front, never surprise-added after.
7 · Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud.
- Otherwise, my total liability for any job is limited to the fees paid for that job. I am not liable for indirect or consequential losses.
- Images are backed up in duplicate from the moment of capture until delivery. In the unlikely event of total image loss before delivery, the remedy is a free reshoot or a full refund of fees paid for the affected work.
8 · General
- These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
- If any clause is found unenforceable, the rest remain in force.
- Personal data is handled as described in the privacy policy.
